Stop scrolling one long, flat list

As your account fills up with workflows and active runs, a single list stops being findable. Folders force each item into one place. Tags don't — a run can be “Acme Co,” “Onboarding,” and “Q3” at once, and show up whichever way you look for it.

Without tags
  • Everything in one endless list
  • Each item forced into a single folder
  • Hunting by name to find related work
With tags
  • Label by client, site, type — as many as fit
  • Filter to one tag, or combine several
  • Find related work in a click

From messy list to organized in three steps

1

Add a tag

Tag a workflow, run, step, or run step. Type an existing tag to reuse it, or add a new one on the spot — the same tags are shared across your account, so labels stay consistent.

2

Let it travel

Turn on Inherit to runs for a workflow's tag and every run started from that workflow picks it up automatically — no need to re-tag each one by hand.

3

Filter and find

Use the tag filter on your workflow and run lists to narrow to one tag — or combine several with all or any matching — and see just the work you care about.

Filter by one tag, or combine several

The tag filter sits right on your workflow and run lists. Pick a single tag to focus, or select several at once and choose how they match — all tags (AND) to narrow to the exact intersection, or any tag (OR) to widen the net.

  • Filter your workflow list, your run list, and scheduled runs the same way.
  • Switch between all and any matching without losing your selection.
  • Clear it in one click with Show All to get back to everything.

Tag your work at every level

Tags aren't limited to the top of the list. Label a whole workflow, an individual run in progress, a single step in a template, or one step inside a running instance — so the same vocabulary organizes your work from the big picture down to the task.

  • Reuse the same shared tags across all four, so “Urgent” means the same thing everywhere.
  • Admins can control which of these each tag is allowed to appear on.

Tag once, and every run carries it

Set a tag on a workflow and switch on Inherit to runs. From then on, every run you start from that workflow arrives already tagged — so a whole month of “Weekly Report” runs stays grouped without anyone tagging them one by one.

It's a per-tag toggle, so you decide which labels flow down to runs and which stay on the template only.

Give tags a look, and keep them tidy

Admins get a single Tag Management screen to shape how every tag reads across the account. Set a color so related work is recognizable at a glance, choose the casing, decide where a tag is allowed to appear, and retire tags you no longer use — without deleting their history.

  • Pick a color per tag; casing can be As Is, Title Case, or UPPERCASE.
  • Choose which contexts — workflows, steps, runs, run steps — each tag shows on.
  • Mark a tag inactive to hide it going forward while keeping past uses intact.
  • Bulk-import a list of tags to set an account up fast.

Shared across the account, tuned per department

  • Tags created in the master department are available in every department, so common labels stay consistent org-wide.
  • Each department can keep its own tags for work that only it cares about.
  • A department can set its own color and casing for a shared tag when it helps.
  • Tag Management is an admin control, so your tag vocabulary stays deliberate rather than sprawling.

Ways teams organize with tags

By client or account

Tag every workflow and run with the client it serves.

Filter to “Acme Co” and see every onboarding, review, and support run for that account in one place.

By property or site

Label recurring work by the location it happens at.

Pull up “Maple St” to review its inspections and maintenance runs across the year.

By type of work

Group by category — onboarding, maintenance, compliance.

Combine “Compliance” and “Urgent” with all matching to surface what needs attention now.

Tags, answered

Tags can be applied to workflows, individual runs, steps in a workflow, and steps inside a live run. The same shared tags are reused across all four, so your labels mean the same thing everywhere.

Yes. Unlike folders, tags overlap freely — a single run can carry a client tag, a work-type tag, and a status tag at the same time, and it appears whichever tag you filter by.

Select several tags in the tag filter and choose a match type: all (AND) shows only items carrying every selected tag, while any (OR) shows items carrying at least one. Use Show All to clear the filter.

They can. Each tag on a workflow has an Inherit to runs setting — turn it on and every run started from that workflow arrives already tagged. Leave it off to keep a tag on the template only.

Admins can, from the Tag Management screen: set a color per tag, choose the casing (As Is, Title Case, or UPPERCASE), pick which contexts a tag appears on, and mark tags active or inactive. You can also bulk-import tags to set things up quickly.

Tags created in the master department are available in every department, so common labels stay consistent. Departments can also keep their own tags, and can set a department-specific color or casing for a shared tag when it helps.
