Bring outsiders into one run — without giving them an account

Vendors, clients, contractors, and auditors often need to do just one thing in a workflow. Add them as a guest with only a name, share a private link, and they get straight to work — no signup, no password, and access to nothing but that single run.

Don't provision a seat for a one-off collaborator

Creating full accounts for an external contractor, a client, or an auditor is heavy, slow, and hard to clean up afterward. Guest Users let outsiders take part in exactly one run and nothing more — then vanish the moment you remove them.

Full accounts for outsiders
  • Invitations, passwords, and email confirmation to chase
  • A billable seat for someone who does one task
  • Left-behind logins to remember to deactivate
Guest Users
  • Add a name, share a link — they're in
  • Guests take a limited role, never a full seat
  • Remove the guest and the link stops working

From outsider to contributor in three steps

1

Add a guest to the run

Open a started run, click Add guest, and type a name so you can tell them apart. That's the whole form — no email address, no invitation to accept.

2

Share their private link

Manifestly generates a unique link for that guest. Copy it and send it however you already talk to them — chat, your own email, a ticket. Manifestly never emails your guests.

3

They work the run

The guest opens the link to a clean page showing only their run. They complete assigned steps and leave comments — and see nothing else in your account.

No account. No password. Just a link.

A guest is anonymous by design — there's no signup step and no credentials to manage. Because guests never have a real email address on file, Manifestly won't send them anything: the private link is the one and only way in, and you control how it's shared.

  • Add a guest with just a display name — no email address needed.
  • The link opens a focused page with only their run — no dashboard, no other runs, no team.
  • Manifestly suppresses all email to guests, so nothing leaks to an inbox you don't control.

Scoped to exactly one run

Every guest is tied to a single run and given a limited role — the narrowest access Manifestly offers. They can move their own work forward, but the rest of your account simply isn't there for them: no other runs, no workflow library, no people, no settings.

  • One guest, one run — a fresh link for each run you want them in.
  • Guests always take a limited role and can never manage users or account settings.
  • They appear as participants on the run so your team always knows who's who.

They pull their weight on the run

Within their run, a guest is a real participant. Assign steps to them like anyone else, and watch their progress land right alongside your team's. Everything they do is captured in the run's activity, so the record stays complete no matter who did the work.

  • Assign specific steps to a guest and see them complete their tasks in real time.
  • Guests can comment on steps to ask questions and share context with your team.
  • Their actions show up in the run's activity feed for a clean, auditable trail.

Open the door on your terms — close it just as fast

Guest access is something you hand out deliberately and take back cleanly. Only your own people can create guests, guests can only ever be limited participants, and pulling a guest off a run cuts their access immediately.

  • Only internal members — admins and full users — can add a guest to a run.
  • Guests are always limited-role and can't be promoted into account access.
  • Remove a guest from the run and their link is deactivated on the spot.
  • No real email is ever on file, and Manifestly blocks all mail to guests.

Who teams bring in as guests

Vendors & contractors

Onboard a supplier or bring in a contractor for a project.

They upload documents and mark their steps done — without a login to manage afterward.

Clients & customers

Walk a new client through an onboarding or intake run.

Send one link and they complete their part alongside your team, seeing only their project.

Auditors & reviewers

Give an outside auditor or reviewer eyes on a single process run.

They sign off on their steps and comment, with zero visibility into the rest of your account.

Guest Users, answered

No. A guest is added with just a name and reaches their run through a private link — there's no signup, no password, and nothing for them to confirm.

When you add a guest to a run, Manifestly generates a unique link for them. You copy it and share it however you like — chat, your own email, or a ticket. Manifestly never emails guests directly, so you stay in control of how the link is distributed.

A guest sees only the single run you added them to. They can work through their assigned steps and comment on steps, but they can't see other runs, your workflow library, your team, or any account settings. Guests always have a limited role.

Each guest is tied to a single run. If you need the same person on another run, add them as a guest there too and share that run's link.

Internal members of the account — admins and full users — can add guests to a run. Guests themselves can never create other guests or gain broader access.

Remove the guest from the run. Their private link is deactivated immediately, so they can no longer open the run.
